How to Respond to a Recruiter Email: Four Complete Reply Examples
Respond to a recruiter email by confirming the opportunity you are discussing, stating your interest or decision and giving one clear next step. You do not need to accept a call before understanding the role. The fictional messages below cover common incoming enquiries; they are drafts for you to adapt, not messages sent on your behalf.
Verify an unexpected approach before sharing information
The FTC warns that fake recruiters may impersonate employers. Check an unexpected message through the organization’s independently found careers site or contact channel. A convincing logo or familiar company name is not verification. Do not pay to obtain a job or send financial-account details in an initial reply.
Once the contact is verified, read what they actually asked. Note the role, employer, location, work arrangement and proposed next step. If those details are missing, ask for the information that determines whether a conversation is worthwhile.
Example 1: interested in the role
The fictional recruiter has supplied a Service Coordinator description. The applicant is interested and offers two clearly dated time options. Replace the sample dates and time zone with your own availability.

Subject: Re: Service Coordinator opportunity
Hello Maya,
Thank you for sharing the Service Coordinator role. The request-tracking and team-handoff responsibilities are relevant to my current work, and I would be interested in learning more.
I am available for a 20-minute call on October 20, 2026, at 10:00 a.m. Eastern Time or October 21 at 2:00 p.m. Eastern Time. Please let me know whether either option works and which call format you prefer.
Best, Robin Wells
Example 2: need details before scheduling
Ask focused questions rather than sending a long questionnaire. In this example, work location and compensation range are necessary for the applicant to assess the opportunity. It is an information request, not a negotiation script.

Subject: Re: Operations opportunity
Hello Maya,
Thank you for reaching out. I would be glad to review the opportunity. Could you share the job description, the employing organization, the expected work location or remote arrangement, and the compensation range budgeted for the role?
Those details will help me determine whether my experience and current requirements are a useful match before we arrange a call.
Best, Robin Wells
Example 3: interested, but the proposed time does not work
You can decline one appointment without declining the opportunity. State the conflict briefly and offer alternatives. There is no need to explain private commitments.

Subject: Re: Interview availability — Service Coordinator
Hello Maya,
Thank you for the invitation. I am interested in speaking, but I am unavailable at the proposed time on October 20.
I can meet on October 21, 2026, between 1:00 and 3:00 p.m. Eastern Time, or October 22 between 9:00 and 11:00 a.m. Eastern Time. Please let me know whether a time within either window fits the interviewer’s schedule.
Best, Robin Wells
Example 4: decline and set a future-contact preference
A short, courteous decline is enough. You can give a relevant reason without disclosing personal detail. Only invite future contact if you want it.
Original complete reply
Subject: Re: Service Coordinator opportunity
Hello Maya,
Thank you for considering me. I am not pursuing roles that require relocation, so I will decline this opportunity.
If you work on similar coordination roles based in my current area or with a fully remote arrangement, you are welcome to contact me about those. I appreciate your time.
Best, Robin Wells
If you do not want further approaches, replace the future-contact paragraph with: “Please remove me from further recruitment outreach.”
Review the reply before sending
Check the recipient, role name and any attachment. Use explicit dates and a time zone rather than “tomorrow afternoon,” especially when communicating across locations. If you attach a resume, open the intended file and remove outdated or unnecessary personal details.
Keep a record of the confirmed appointment and wait for the agreed meeting details. Replying with interest is not accepting an offer or consenting to every future opportunity. If the discussion changes materially, ask for the new details before deciding the next step.
Questions, answered
Do I have to send my resume immediately?
No. You can first verify the contact and ask for enough information to assess the role. If you choose to send it, use the intended current version.
Can I ask about compensation before a call?
You can request the budgeted range when it helps determine fit. Keep the request clear and professional, as in the information-needed example.
What if I am not looking right now?
Say so briefly. You can decline, invite relevant future contact or ask to be removed from outreach according to your preference.
