Cover letter guide
Letter of Interest vs Cover Letter: Which Situation Are You Writing For?
The useful distinction in “letter of interest vs cover letter” is often the situation: are you responding to an advertised role or introducing yourself without a current opening? The labels are not universal. Some employers use letter of interest to mean the cover letter in a formal application. Follow their instructions first, then choose the purpose and evidence your letter needs.
Decide by the request, not the label alone
UTEP’s career guidance distinguishes an unsolicited inquiry from a response to an advertised position. UC Davis Human Resources also uses letter of interest as another name for a cover letter. Both usages exist, so a rigid naming rule can lead you to write the wrong document.
If a vacancy asks for a letter of interest, address that vacancy and its requirements. If there is no opening and an organization welcomes expressions of interest, explain the kind of work you could contribute to and make a proportionate inquiry. A letter of intent or motivation letter can have a specific meaning in a program; follow the requested questions and format rather than assuming it is one of these two examples.
A three-situation decision aid
Named vacancy plus application instructions → write an application letter matching the stated role, whatever the employer calls it.
No current vacancy, but an appropriate channel for career enquiries → write a concise inquiry about relevant future work; do not imply an opening exists.
Goal is learning about a career rather than seeking employment → use an informational-interview request and state that learning purpose clearly.
Set up the same applicant in two different situations
Both fictional letters below use Robin, a service coordinator who maintains customer-request records and organizes team handoffs. The employer, Meadow Desk Services, is fictional. In the first situation there is no advertised position. In the second it has posted a Service Coordinator vacancy requesting request tracking, customer updates and team handoffs.
The applicant’s underlying experience stays the same. What changes is the reason for writing, the strength of the match to known requirements and the requested next step. These are complete teaching examples, not messages sent to anyone.
Example 1: an inquiry when no opening is advertised
In this fictional situation, the company’s public careers page welcomes expressions of interest in service operations. The applicant can refer to that invitation because it is part of the scenario; in your own letter, verify the organization’s actual process.
Original complete letter of interest
Dear Meadow Desk Services careers team,
I am contacting you through the expressions-of-interest process described on your careers page. I work in service coordination and would be interested in future opportunities involving customer-request tracking and team handoffs. I understand that you have not advertised a matching role at present.
In my current position, I keep unresolved requests organized by next action and responsible team member. When a request moves between teams, I confirm which information is still needed and make that status clear in the handoff notes. I also prepare customer updates that distinguish a confirmed next step from a matter still awaiting an internal response.
I would welcome the opportunity to contribute these skills to service-operations work if a suitable need arises. My attached resume provides my background. If there is a more appropriate process for future opportunities, I would appreciate being directed to it.
Thank you for considering my expression of interest.
Sincerely, Robin Wells
Example 2: a cover letter for the advertised role
The same applicant now has a specific vacancy to respond to. The letter names it, selects evidence for its requirements and requests consideration within the application process.
Original complete application letter
Dear Meadow Desk Services hiring team,
I am applying for the Service Coordinator position advertised on your careers page. Your need for clear request tracking, customer updates and reliable handoffs closely matches the work I perform in my current coordination role.
When an unresolved request moves between teams, I record the next action, the responsible person and the information still needed. In one recent case, the receiving team could not proceed because the handoff lacked a reference document. I confirmed the missing item with the original owner, updated the request record and let the customer know what would happen next without promising an unconfirmed completion date.
I also review outstanding requests before preparing status updates, so that a completed internal task is not confused with a resolved customer issue. I would bring that attention to status and ownership to the coordination responsibilities described in your vacancy.
I have included my resume through your requested application process and would welcome an interview to discuss the role. Thank you for considering my application.
Sincerely, Robin Wells
Compare the changes before adapting either letter
The inquiry explains a plausible area of contribution without pretending to know an unadvertised job’s requirements. Its next step is guidance about relevant future opportunities. The application names an actual role, answers its stated needs and gives a specific example selected for that role.
The applicant does not invent new achievements to make the second letter stronger. Instead, the known requirements justify a more focused example. In both situations, research should support what you say about the employer; do not claim familiarity with internal problems you have not observed.
Check the delivery instructions and expectations
Use the application portal, email address or other channel the organization specifies. Do not treat an unsolicited inquiry as a way to bypass a required hiring process. If the employer does not accept unsolicited applications, follow that instruction.
An inquiry may receive no reply and does not create an obligation to consider you. If an actual opening appears later, submit the requested application rather than assuming your earlier note is already in that process. For a learning conversation, use the informational-interview guide so the purpose remains clear.
Questions, answered
The job advert asks for a letter of interest. Should I write about future opportunities?
No. When the letter is requested for an advertised job, address that job and its instructions. The employer may be using letter of interest as a synonym for cover letter.
Is a letter of intent always the same document?
No. Employers, academic programs and other organizations use labels differently. Follow the stated purpose, questions and required format; ask the organization if its instructions are unclear.
Can I use the same experience in both letters?
Yes. The facts should stay accurate. Change the selection and framing of the evidence to fit a specific vacancy or a broader, appropriate inquiry.
