Email a Resume and Cover Letter: Three Complete Submission Examples
An email containing your resume and cover letter should make the application package easy to identify. Follow the employer’s instructions about the subject line, attachments and whether the letter belongs in the message body. The three fictional examples below show different requested submission arrangements; choose the one that matches your actual application.
Build the package from the instructions
Berkeley’s cover-letter guidance emphasizes the connection between your evidence and the vacancy. The email is also a delivery step: the correct message cannot compensate for the wrong attachment. Before drafting, record the recipient, job title or reference, required documents and permitted file formats.
These examples use fictional applicant Robin Wells and fictional employer Meadow Desk Services. They assume the employer accepts email applications. None of the messages has been sent, and the filenames identify example documents rather than downloadable files supplied with this page.
Example 1: resume and cover letter attached
The fictional vacancy requests two PDFs and the role reference in the subject. The email stays short because the attached cover letter contains the evidence narrative.

Subject: Application — Service Coordinator SC-104 — Robin Wells
Dear Meadow Desk hiring team,
Please consider my application for the Service Coordinator position, reference SC-104. I have attached my resume and cover letter in the PDF format requested in the vacancy.
My experience in request tracking and team handoffs is relevant to the role, and I would welcome the opportunity to discuss it. Thank you for reviewing my application.
Best regards, Robin Wells

Example 2: cover letter in the email body
This variation assumes the employer asks for an inline letter and an attached resume. The letter below is complete; do not also attach an identical letter unless requested.
Original complete inline letter email
Subject: Service Coordinator application — Robin Wells
Dear Meadow Desk hiring team,
I am applying for your Service Coordinator position. My experience organizing unresolved requests and communicating next steps aligns with your need for clear customer updates and reliable team handoffs.
In my current role, I review a request before transferring it to another team, checking the responsible person and any information still needed. When a handoff was delayed because a reference document was missing, I confirmed the missing item with the original owner and updated the record so the receiving team could see what remained open. I then gave the customer a factual update without promising an unconfirmed completion date.
I also prepare a weekly list of unresolved requests and distinguish completed internal actions from issues still awaiting a response. I would bring that care with status and ownership to the coordination work described in your vacancy.
My resume is attached as requested. Thank you for considering my application; I would welcome the opportunity to discuss the role.
Best regards, Robin Wells
Attachment manifest: Robin-Wells-Resume.pdf. The letter is in the body, so there is no separate cover-letter file in this example.
Example 3: a named referral with permission
The fictional employee has agreed that Robin may mention the referral. A referral is not permission to bypass the published process, and it does not establish an endorsement beyond what the person actually said.

Subject: Service Coordinator SC-104 application — Robin Wells
Dear Meadow Desk hiring team,
Jordan Lee suggested that I review your Service Coordinator vacancy and has agreed that I may mention their referral. I am submitting my application through the email process specified in the posting.
I have attached my resume and cover letter. The role’s focus on request tracking and clear handoffs matches the coordination experience described in those documents. Thank you for considering my application.
Best regards, Robin Wells
Attachment manifest: Robin-Wells-Resume.pdf; Robin-Wells-Cover-Letter.pdf. Do not copy the referral sentence unless the named person actually gave that permission.
Run a recipient-to-file consistency check
Compare the To field with the employer’s instructions. Then compare the employer name and role reference in the subject, message, cover letter and filenames. A filename can look correct while the file still contains a letter for another company.
Open each actual attachment after adding it, when your email client allows that preview. Check the first page, final line and contact details. Remove older draft versions and unrelated attachments. If the employer requires one combined file, prepare and inspect that package rather than sending the two-file pattern above.
Keep the message easy to act on
Use a simple signature with your name and appropriate contact information. There is no need to repeat the full resume in the email or add a decorative signature that obscures the application. A concise attachment message and a full inline letter serve different purposes.
Follow any stated acknowledgment or follow-up process. Do not interpret a lack of reply as permission to send repeated copies to unrelated employees. Save the submitted versions so you know which information the employer received.
Questions, answered
Should the cover letter be attached or pasted into the email?
Follow the employer’s instructions. If they request an inline letter, put it in the body. If they request a document, attach the permitted file format and use a short message.
Should I send both an inline letter and the same letter as an attachment?
Only if requested. Avoid unnecessary duplication; make the package match the submission instructions.
Are the example attachments available to download here?
No. The filenames are an attachment manifest showing what the fictional package contains. Create and inspect your own documents before sending.
