Property Manager Resume: Example, Portfolio Scope and Results

A property manager resume should identify the properties you supported, the decisions you owned and how you kept operations organized. Explain your work with residents, vendors, records and owners. Distinguish managing a property’s daily operations from selling real estate or performing repairs yourself.

Define the property and your responsibility

Start with the setting: residential, commercial or community association. Then explain whether you managed one site, supported a portfolio or assisted a senior manager. The BLS distinguishes these settings and describes responsibilities ranging from maintenance coordination to financial reporting. Your resume should select the duties you actually performed.

Use scope a reader can understand: property type, verified unit count, vendor coordination or reporting cadence. An assistant who prepared a report should not imply that they approved a budget. A manager who scheduled repairs should not claim to have completed technical work they did not perform.

This fictional example describes residential operations. It is not a real person’s work history. Replace the portfolio, tools, dates and responsibilities with your own, keeping your actual job titles. Include credentials only when you hold them.

Write one maintenance example from request to resolution

A useful maintenance bullet explains the coordination chain. Identify how you received the request, who performed the work, what you checked and how you recorded the outcome. This shows organization without suggesting that you personally repaired an electrical or mechanical system.

Before: “Handled all maintenance.” Better, if accurate: “Tracked open work orders, confirmed vendor attendance and updated the resident after receiving the completion note.” The second version describes actions a hiring manager can ask about.

For an unresolved issue, explain the follow-up or escalation you managed. A resume can demonstrate sound judgment without pretending that every problem was solved immediately. Keep resident names, unit-specific disputes and private account information out of the example.

Use occupancy, collections and response measures carefully

A number needs a definition and period. For occupancy, distinguish the measure your reports used and the dates being compared. For collections, identify whether a figure refers to payments received, arrears followed up or another measure. Do not combine different portfolio sizes into a growth claim without explaining the change.

For maintenance response, distinguish the time to acknowledge a request from the time to complete the work. A faster acknowledgement does not establish faster repairs. Use an approved, verifiable figure or describe your process without inventing a percentage.

Measurement note before writing a result

Measure: [Name used in the actual report]

Scope and period: [Portfolio and comparable dates]

Result: [Verified before and after, if available]

My contribution: [Action I performed, separate from team results]

Adapt the emphasis for a different property setting

For commercial work, select evidence involving the actual tenants, service providers and reporting needs you supported. For an association role, explain board reporting and shared-area coordination when those were your duties. Do not replace residential terminology with commercial terminology unless your experience supports the change.

If you are moving from an assistant role, show increasing responsibility while keeping supervision clear. Coursework or a professional credential can support the application but does not establish experience managing a portfolio. Follow the vacancy’s requirements and verify any required license with the relevant issuing authority.

Before sending, confirm that portfolio scope, job dates, credentials and figures agree with your records. Remove confidential property documents from attachments and check that each bullet explains your own responsibility.

Questions, answered

Should I include the number of units I managed?

Include a verified number when it helps explain scope and you may disclose it. Distinguish direct responsibility from a wider portfolio you only supported.

Can an assistant property manager use this format?

Yes. Keep the assistant title and explain the work you completed, the decisions you supported and when approval came from a manager.

Should I list property management software?

List the systems you used and connect them to tasks such as work orders, records or reporting. Do not claim a system because it appears in the vacancy.
