Workplace communication

Written Communication: Rewrite an Ambiguous Work Request

Written communication needs to carry the context a reader cannot obtain from your tone or an immediate explanation. This original exercise turns an unclear work request into a message that can be acted on. The example concerns an internal exhibition label review, not a resume description of communication skills.

Read the weak request and identify the missing decisions

Original message: “Can someone sort the labels soon? The new ones are in the folder. We need them for the display.” Before improving the tone, identify the operational gaps. Who should act? Which file is current? Does “sort” mean edit, approve or print? What deadline applies?

Purdue OWL’s business-writing guidance recommends foregrounding important information and writing clearly for the audience. Here that means making the requested decision explicit before adding background. We will use only the supplied facts, rather than inventing a deadline that sounds helpful.

Owner: Priya reviews text accuracy; Mateo handles print approval after Priya’s response.

Current file: Label draft v3, stored in the agreed exhibition folder. Version 2 is obsolete.

Scope: check the six object titles and dates against the approved object list. Layout changes are outside this review.

Deadline: Priya should return corrections or “no corrections” by 15:00 on 12 November. The print decision belongs to Mateo after that review.

Uncertainty: object 4 has two conflicting dates in the supplied records. Priya should flag the conflict rather than choose a date without confirmation.

Subject: Review six label titles and dates by 15:00 on 12 November

“Hi Priya, please check the six object titles and dates in Label draft v3 against the approved object list, and reply with corrections or ‘no corrections’ by 15:00 on 12 November. Both files are in our agreed exhibition folder. Version 2 is obsolete.

“Please flag the conflicting dates for object 4 rather than choosing one without confirmation. This review covers text accuracy; Mateo will decide print approval afterward. Layout changes are outside this request.

“If you cannot complete the review by that time, please tell me which labels remain unchecked so I can discuss the next step with Mateo. Thank you, Jo.”

Check what the rewrite changed

The first sentence names the reader, the specific check and the deadline. The second paragraph separates an unresolved factual issue from an approval decision. The final paragraph gives the reader a useful response if the plan cannot be met. It does not assume that silence means approval.

The request is still polite, but politeness no longer carries the burden of explaining the task. “When you get a chance” would conflict with the stated deadline. “Please approve the labels” would assign Priya a decision the fact bank reserves for Mateo. A stronger verb is useful only if it accurately describes the responsibility.

Test the message before sending it

Ask a colleague to underline the action, circle the deadline and name the decision still awaiting confirmation. If they mark different actions, investigate the wording. Verify that the file names and actual folder contents match the message before sending; a clear request cannot repair a missing or obsolete attachment.

For your own rewrite, draft the shortest accurate action sentence first. Add only the context needed to perform it, then specify what to do about uncertainty. Keep supporting records in the approved location and avoid adding unnecessary personal or confidential information to the message.

Questions, answered

Should every message include a deadline?

Include a real deadline when timing affects the task. If none is agreed, ask about timing rather than inventing urgency.

Is “please review” specific enough?

Usually name what the reader should check and what response you need. A review of factual accuracy differs from layout approval or permission to publish.
