Employee Timesheet Template: Editable Work Intervals and a Checked Example

An employee timesheet template records time; it should not hide assumptions inside an unexplained total. The downloads below use separate work intervals and a transparent correction record. This fictional arithmetic exercise records time between stated starts and ends. It does not decide pay, legal break treatment or payroll eligibility.

Understand what the files record

The U.S. Department of Labor’s work-hours recordkeeper instructions describe recording start and stop times and adding daily and weekly totals. The original files here use a simpler practice layout with two worked intervals per day, not a claim of statutory completeness.

The blank file can be opened in a spreadsheet editor. The filled file contains only fictional names and a five-day example. Times use a 24-hour clock on the same day. The gap between intervals is outside the worked intervals in this exercise; the file does not label that gap as legally unpaid or determine which real-world activities must be compensated.

Monday — 09:00–12:00 and 12:30–17:00: 180 + 270 = 450 minutes = 7.5 hours.

Tuesday — 09:00–12:00 and 12:45–17:15: 180 + 270 = 450 minutes = 7.5 hours.

Wednesday — 08:30–12:00 and 12:30–16:00: 210 + 210 = 420 minutes = 7 hours.

Thursday — 09:00–12:00 and 12:30–17:00: 180 + 270 = 450 minutes = 7.5 hours.

Friday — 09:00–12:00 and 12:30–15:30: 180 + 180 = 360 minutes = 6 hours.

Week total — 450 + 450 + 420 + 450 + 360 = 2,130 minutes; 2,130 ÷ 60 = 35.5 hours.

Calculate with minutes before converting to decimals

For one interval, convert the end and start to minutes after midnight and subtract. Friday afternoon ends at 15 × 60 + 30 = 930 and starts at 12 × 60 + 30 = 750. The difference is 180 minutes, or three hours. Add the two intervals before computing the daily decimal.

Do not read 7 hours 30 minutes as 7.30 decimal hours. Thirty minutes is 30 ÷ 60 = 0.5 hours, so the decimal is 7.5. The filled CSV includes supplied arithmetic values, not spreadsheet formulas or automatic payroll calculations; recalculate totals after changing any time.

Keep a correction trail rather than silently replacing a value

Original Friday end entry: 15:00. Corrected entry: 15:30, supported by the fictional worker’s checked record. The correction adds 30 minutes. Friday changes from 330 to 360 minutes, and the week changes from 2,100 to 2,130 minutes, or from 35 to 35.5 hours.

The separate correction CSV records the field, old value, new value, reason and reviewer. In actual use, follow the organization’s authorized correction and approval process and retain required supporting records. Do not use a sample reviewer name as if a real person had approved your entry.

Adapt the blank sheet to the actual recording process

Replace fictional identifiers and record actual intervals using the organization’s rules. If a shift crosses midnight, uses more intervals or includes time whose classification is uncertain, this same-day two-interval example is insufficient: use the approved system and ask the responsible payroll or HR contact.

For a final check, total minutes independently, convert the week once and compare it with the sum of daily decimal values. A matching total checks arithmetic only. It does not verify the underlying hours or establish that the template contains every field a particular jurisdiction or employer requires.

Questions, answered

Does 7:30 mean 7.30 decimal hours?

No. Seven hours and thirty minutes is 7.5 decimal hours. Keep clock times and decimal totals in separate columns.

Does this file calculate pay automatically?

No. It contains transparent practice time values and no pay rates or automatic formulas. Use the authorized payroll process for compensation decisions.
