Weekly Employee Schedule Template: A Checked Five-Day Coverage Grid
A weekly employee schedule template should show who is actively covering the work, not merely who is on site. This fictional exercise assigns two trained people to a desk throughout a five-day week. The completed CSV and availability file let you check coverage, breaks and unavailable shifts without using real employee data.

Desk hours are Monday–Friday, 09:00–17:00, with at least two active people throughout. All five fictional people are trained for the same desk work. Anyone assigned longer than four hours has one 30-minute off-duty break in this supplied model; shorter assignments have no break requirement within this exercise. These are fictional constraints, not legal break or working-time guidance.
Alex is available Monday, Tuesday, Thursday and Friday 09:00–13:00. Drew covers only Wednesday 09:00–13:00. Blair is available Monday, Wednesday, Thursday and Friday 12:00–17:00; Eli is available Tuesday 12:00–17:00. Casey is available every weekday 09:00–17:00. No other availability or weekly limits are supplied.

Two active people in every interval
Monday / Thursday / Friday: 09:00–12:00 Alex+Casey; 12:00–12:30 Alex+Blair while Casey breaks; 12:30–13:00 Alex+Casey while Blair breaks; 13:00–17:00 Blair+Casey.
Tuesday: 09:00–12:00 Alex+Casey; 12:00–12:30 Alex+Eli while Casey breaks; 12:30–13:00 Alex+Casey while Eli breaks; 13:00–17:00 Eli+Casey.
Wednesday: 09:00–12:00 Drew+Casey; 12:00–12:30 Drew+Blair while Casey breaks; 12:30–13:00 Drew+Casey while Blair breaks; 13:00–17:00 Blair+Casey.
Verify the grid before publishing a real schedule
Every interval contains two active people. Casey and the afternoon person have staggered breaks, and the morning person stays until 13:00. Availability is respected: Drew replaces Alex on Wednesday and Eli replaces Blair on Tuesday. A person on break is not counted in active coverage.
Total required active coverage is 2 people × 8 hours × 5 days = 80 person-hours. The completed assignments provide Alex 16, Drew 4, Blair 18, Eli 4.5 and Casey 37.5 active hours, totaling 80. These are coverage calculations only; the fixture does not determine pay treatment or establish a legally compliant rota.
Use the conflict answer key
Error 1: put Blair on Tuesday afternoon. The grid may still show two names, but Blair is unavailable that day. Error 2: give Casey and Eli the same Tuesday 12:00–12:30 break. Only Alex remains active, so coverage drops to one. Error 3: extend Alex to 17:00 to replace a missing afternoon person. That exceeds the supplied availability.
To repair a change, obtain actual confirmed availability and recheck every affected interval. A blank shift cannot be filled by assuming somebody will stay. The supplied grid has exactly the required active coverage, so it contains no spare active person for an unexpected absence.
Reuse the editable files as a planning exercise
OpenStax’s operational-planning material treats worker scheduling as a front-line planning activity. The original CSV here makes its own availability and coverage assumptions explicit. Replace them with the approved requirements before using a similar format at work, and keep the availability source separate from the proposed assignment.
After any edit, check active coverage and each person’s constraints again. A weekly total alone can look correct while a half-hour interval is understaffed.
Questions, answered
Can someone on break count toward desk coverage?
Not under the supplied exercise rule. The grid lists off-duty breaks separately from active people.
Is this a payroll or legal-hours calculator?
No. It checks fictional active coverage and availability. It contains no wage, overtime or local employment-rule determination.
