Employee Directory Template: Route Questions without Publishing Private Details
An employee directory template should help someone find the right work contact. This original example is a role-routing reference with fictional teams and queues. It avoids real personal data and separates internal routes from the public contact options the organization has approved.

Editable role and contact-routing directory
Fictional filled directory with separate internal and public routes and update owners.
Download CSVChoose the fields needed for the directory’s purpose
The fictional organization wants colleagues to route work questions, while visitors use approved public enquiry forms. The directory therefore records team, display role, work scope, internal route, public route, update owner and last-checked date. It does not need a home address, personal phone number or employee case notes.
The University of Maine Extension provides a defined process for adding or updating its public staff listings. That is one institutional example of update ownership, not a claim that every directory should publish the same fields. The rows below are entirely original practice data.
Read the filled role-routing directory
A complete minimal directory
Visitor services | Duty coordinator | Unresolved visitor-information questions | Internal: visitor-query queue | Public: main enquiries form | Update owner: visitor-services lead.
Learning resources | Guide coordinator | Current guide location and owner routing | Internal: guide-help queue | Public: learning-resources enquiry form | Update owner: learning-resources lead.
Room planning | Room-booking coordinator | Room-request status and process questions | Internal: room-requests queue | Public: main enquiries form | Update owner: operations coordinator.
All three fictional rows last checked October 5. Route names are labels in this exercise, not active links or inboxes.
Keep the internal and public views separate
An internal queue may include workflow access unavailable to visitors. Do not copy that route into a public directory merely because it is present in the working CSV. Select the public-route column for the public view and confirm that the named form actually exists before publishing a real listing.
Conversely, an internal colleague may need a more specific team queue than the general public form. The two views serve different routing needs. Neither needs private contact details just to make the table look more complete.
Work through a changed-role correction
New fictional information: room-request questions now go to the facilities coordinator, but the directory still lists the operations coordinator as update owner. The current row may be stale. Ask the responsible team to confirm the new routing, then update the role, route and owner fields together and record the new check date.
Do not change only the date to make the listing look fresh. If confirmation is pending, mark the row as needing review and use the approved general contact route. A current date without verified content would hide the uncertainty.
Use the editable file with a field-selection check
Before reusing a field, ask: who needs it, for what work question and in which audience view? If no purpose is clear, leave it out. Assign an update owner rather than relying on every reader to notice stale information.
Practice task: add an employee’s personal mobile number because the public form is slow. Reject that change: this fixture authorizes the listed work routes only. Route the service issue to the owner instead of expanding the directory’s purpose or audience.
Questions, answered
Does a directory need a biography?
No. This role-routing example uses only the fields needed to find an appropriate work contact. A voluntary introduction is a separate artifact.
What if a listed route has not been confirmed?
Keep that uncertainty visible and seek confirmation from the update owner. Do not present a guessed route as current.
