Accounting Workflow: Track Evidence, Owners and Handoffs
An accounting workflow shows how work moves between people and states. A useful status includes the evidence available, the owner of the next action and the condition for moving forward. “In progress” alone does not explain whether an invoice has been checked, approved, posted or reconciled.
Use a fictional process with explicit gates
The teaching organization requires a document check, named approval and posting reference before a completed item reaches reconciliation. These are the rules of this fixture, not a claim that every organization has the same approval hierarchy. OpenStax distinguishes recording and later ledger steps; this case adds original handoff details.
Invoice VN-204 is for 360. The receiving record confirms the stated items, but the required approver has not replied. A preparation check can be complete even when the full workflow is still waiting.
Read the completed status table
Identify the current state and next owner. Do not treat an earlier checked task as proof that later tasks have happened.
Original workflow record
Received: VN-204 saved; owner intake clerk; evidence invoice copy and receipt time.
Checked: description and quantity matched to receiving record RC-88; owner preparer; check complete.
Approval: awaiting the designated approver; request AP-19 sent; no approval response recorded.
Posting: not started; no journal or ledger reference recorded.
Reconciliation: not started; depends on a completed posting record.
Current next action: approver responds to AP-19; preparer follows the stated escalation process if required.
Explain dependencies without guessing an outcome
The value 360 does not tell you whether approval should be bypassed. The fixture explicitly requires it. A reminder sent is evidence of contact, not evidence of authorization. Likewise, a journal reference should identify an actual recorded entry, not a placeholder added to make a dashboard look complete.
If another colleague takes over, the important handoff is the last confirmed state and missing condition. Copying the invoice amount without its status could cause the colleague to assume the item is ready for posting.
Write a useful handoff
Keep the action and the unresolved point separate.
Original handoff message
“VN-204 for 360 is received and checked against RC-88. Approval request AP-19 is awaiting a response from the designated approver. Nothing has been posted. Please take ownership of following up AP-19 through the stated process and retain the response before moving the item to posting.”
Avoid status inflation
Do not mark an item paid because it was approved, or reconciled because it was posted. Those labels refer to different observations. If an item is returned for correction, retain the reason and current owner instead of erasing the earlier history.
For a self-check, add a late message asking for an invoice change. State which check needs to be repeated and who must confirm it. Do not assume an old approval automatically applies to a materially changed document.
Questions, answered
Is a reminder an approval?
No. It establishes that a request was sent, not that permission was given.
Does this prescribe a universal accounting process?
No. The gates and owners are explicit fictional rules used to practice clear handoffs.
