The Opportunity
Ovatient is seeking a Virtual Medical & Administrative Assistant to serve as an essential member of our interdisciplinary care team.
You will play a critical role supporting both clinical operations and patient access services. This hybrid position combines traditional medical assistant responsibilities with administrative functions that ensure patients are properly registered, scheduled, and connected to the appropriate insurance coverage and care services. You will serve as a key point of coordination between patients, providers, and operational teams, helping deliver a seamless virtual care experience while maintaining the highest standards of accuracy, service, and patient satisfaction.
We are looking for someone with availability to work between 8:00 AM - 5:00 PM or 9:00 AM - 6:00 PM.

Medical Assistant Responsibilities
Support the delivery of high-quality virtual care by assisting providers and care teams with patient coordination and follow-up activities
Review patient documentation, medical records, referrals, and intake information to ensure completeness and accuracy
Assist with technology support and patient onboarding for virtual visits
Monitor patient communications and escalate clinical concerns appropriately
Maintain accurate and timely documentation within the electronic medical record (EMR)
Collaborate closely with providers, nurses, behavioral health clinicians, and operational teams
Administrative Responsibilities
Monitor and work registration work queues to ensure timely patient registration and account creation
Monitor and work the insurance-related work queues (DAR)
Ensure insurance eligibility and payer information are accurately documented
Correct coverage errors and coordinate resolution of insurance-related issues
Input and maintain provider schedules in Epic with a high degree of accuracy
Review time off requests from providers and adjust schedules as needed
Deliver exceptional service through phone, video, and electronic communication channels
Address patient inquiries with professionalism, empathy, and urgency
Help patients navigate Ovatient services and connect them with appropriate resources
Requirements:
Completed an accredited medical assistant program, nursing assistant program or an LPN with compact license
Possess a current national certification in medical assisting from an organization such as AAMA or NHA
Minimum 5 years of clinical experience in primary care or urgent care.
Intermediate to advanced computer skills as evidenced by ability to navigate multiple systems utilizing the same computer monitor, and quickly learn and navigate software programs and applications
Strong proficiency in telemedicine and virtual care technologies.
Exceptional communication, interpersonal, and problem-solving skills.
Must possess effective telephonic and virtual communication skills with a demonstrated ability to provide excellent customer service.
A strong commitment to patient care, quality, and clinical excellence.
Comfortable working independently in a fast-paced, dynamic environment.
Flexibility to work varying shifts, including weekends and holidays, as needed.
Minimum 2 years of experience using Epic
Experience with patient registration, insurance verification, scheduling, and coverage management
Extreme attention to detail
Preferred Qualifications
Have at least 2 years in a patient-centered medical home (PCMH), supporting the delivery of integrated primary care and behavioral health services
Experience with CMS Chronic Care Management, Remote Patient Monitoring and Remote Therapeutic guidelines, and documentation practice
Expertise with the Epic electronic medical record
Previous experience in supporting care management including knowledge of complex care management and care management principles
State certification as a MA, NA or LPN
Experience with Epic Template Management
Knowledge of insurance eligibility, coverage verification, and registration best practices.
Bilingual in Spanish and English
Remote (Work-At-Home) Requirements
To ensure an ability to work effectively remotely (while at home), the following is required:
A high-speed, reliable broadband internet connection
Ovatient will provide computer and telephonic equipment appropriate to meet the job requirements
A dedicated space isolated from interruptions to ensure you, your patients and care team have continuous privacy to accomplish daily activities and protect member confidential information (per compliance with HIPAA privacy laws)
