Job description

Position Overview We are seeking a highly organized, detail-oriented, and dependable Logistics Coordinator / Office Administrative professional to support our day-to-day operations. This position will coordinate logistics, maintain accurate records, assist with scheduling and administrative tasks, and provide support to management and field operations. The ideal candidate is organized, proactive, able to multitask in a fast-paced environment, and comfortable communicating with employees, vendors, customers, and management. Key Responsibilities Coordinate daily logistics, deliveries, pickups, materials, equipment, and transportation. Communicate with vendors, suppliers, drivers, field employees, and project teams regarding schedules and logistics. Track deliveries, equipment, materials, and other operational items. Maintain organized records, files, spreadsheets, and administrative documentation. Assist with scheduling and coordinating meetings, appointments, deliveries, and field activities. Prepare, review, and process invoices, purchase orders, work orders, and other documentation. Assist with inventory tracking and maintaining accurate records of company equipment and materials. Monitor and follow up on outstanding orders, deliveries, and vendor requests. Provide general administrative support to management and the operations team. Answer phone calls, emails, and general inquiries in a professional and timely manner. Enter and maintain information in company systems, spreadsheets, and databases. Assist with organizing company records and ensuring documents are properly maintained. Support special projects and other administrative or operational duties as assigned. Qualifications 1–3 years of experience in logistics, office administration, operations, construction administration, or a related field preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office, particularly Excel and Outlook. Ability to manage multiple priorities and meet deadlines. Strong attention to detail and accuracy. Ability to work independently while also supporting a team. Professional and reliable with a strong work ethic. Construction, electrical, or field-service industry experience is a plus. Bilingual English/Spanish is a plus.
