Temporary Assistant Manager

Position Purpose

This is a temporary 90-day assignment for a candidate interested in developing into a management role within the Certus account. The Temporary Assistant Manager will provide operational and supervisory support to the Certus Claims Manager for a unit of six adjusters.

Responsibilities are introduced progressively over three 30-day phases. This structure allows the Assistant Manager to build familiarity with management expectations, financial approval processes, file oversight requirements, and team operations before assuming greater independent responsibility. Each phase concludes with a formal checkpoint to assess readiness before advancing.

This assignment is designed to develop real management capability — not shadow work. By day 90, the right person will be handling designated routine management functions independently.

Days 1 to 30: Orientation, Observation, and Initial Oversight

The first 30 days focus on learning management processes, establishing consistency in file oversight, and beginning responsibility for routine supervisory functions.

  • Participate in and assist with Manager check-ins with adjusters to become familiar with individual workloads, significant files, performance expectations, and outstanding action items.
  • Review newly assigned claims at FNOL to confirm appropriate initial file handling.
  • Verify that appropriate diaries are established on newly assigned claims and that diary requirements are being followed.
  • Confirm required first contacts are completed timely, including contact with the insured and other appropriate parties.
  • Identify deficiencies in FNOL handling and coordinate with the assigned adjuster to ensure outstanding initial activities are completed.
  • Begin periodic file reviews focusing on diary compliance, documentation, first contacts, and general file progression.
  • Observe and assist the Manager with cash call requests to become familiar with documentation, authority, reserve, and funding requirements.
  • Observe and assist with settlement check approvals and expense payment requests exceeding $25,000.
  • Assist in gathering information and preparing materials for the bi-weekly team meeting.
  • Assist with preparation of the bi-weekly PowerPoint presentation.
  • Begin monitoring significant upcoming events including mediations, trials, settlement conferences, and other important claim deadlines.

30-Day Checkpoint: The Manager and Temporary Assistant Manager will review progress, address questions or training needs, and determine readiness to advance to Phase 2.

Days 31 to 60: Shared Management Responsibility

During this phase the Temporary Assistant Manager transitions from primarily assisting and observing to handling designated management functions with Manager oversight.

  • Take a more active role in Manager check-ins with adjusters, including identifying files requiring discussion and tracking follow-up items.
  • Independently conduct FNOL reviews for the unit and follow up with adjusters regarding missing first contacts, diaries, documentation, or other initial handling requirements.
  • Monitor diary compliance and outstanding assignments across the six-adjuster unit.
  • Conduct targeted file reviews to evaluate file progression, reserve adequacy, documentation, litigation activity, settlement strategy, and outstanding action items.
  • Review and prepare cash call requests for processing, escalating unusual or significant issues to the Manager.
  • Review settlement check approval requests for appropriate authority, documentation, payee information, and claim coding.
  • Review expense payment requests exceeding $25,000 and provide a recommendation to the Manager when final approval or escalation is required.
  • Take primary responsibility for preparing the bi-weekly team meeting PowerPoint, with Manager review before the meeting.
  • Assist in developing the agenda and identifying claims, operational issues, or trends that should be discussed during team meetings.
  • Monitor significant claim developments and assist with identifying matters requiring management or carrier/client escalation.
  • Assist adjusters with Large Loss Reports, settlement authority requests, significant event reports, reserve recommendations, and other required reporting.
  • Serve as a secondary resource for adjuster questions involving claim procedures, reporting requirements, financial requests, and routine claim-handling issues.

60-Day Checkpoint: Readiness for increased independence will be assessed based on quality and consistency of FNOL reviews, financial reviews, file oversight, adjuster communication, issue escalation, and completion of assigned responsibilities.

Days 61 to 90: Increased Independence and Assistant Manager Function

During the final phase the Temporary Assistant Manager assumes primary responsibility for designated routine management functions while continuing to escalate significant matters to the Manager.

  • Independently manage routine FNOL oversight for the six-adjuster unit, including diary compliance, first-contact requirements, and follow-up on identified deficiencies.
  • Assist in leading regular Manager check-ins and independently track required follow-up with adjusters.
  • Conduct ongoing file reviews and communicate identified action items directly to adjusters.
  • Independently process routine cash call requests within delegated authority and escalate exceptions or significant concerns to the Manager.
  • Process settlement check approval requests within delegated authority and ensure appropriate supporting documentation is maintained.
  • Review and process expense payments exceeding $25,000 within established delegated authority, escalating exceptions as appropriate.
  • Assume ownership of the bi-weekly team meeting PowerPoint and assist with organization and facilitation of the meeting.
  • Monitor significant claims, upcoming litigation events, mediations, trials, settlement activity, and reporting deadlines across the unit.
  • Follow up with adjusters regarding overdue reports, evaluations, reserves, correspondence, payments, diaries, and other outstanding claim activities.
  • Serve as the first level of supervisory support for routine adjuster questions and operational issues, escalating significant coverage, liability, financial, personnel, or client issues to the Manager.
  • Assist with workload management and coverage when adjusters are absent or experiencing increased claim volume.
  • Provide coverage for designated routine management responsibilities during the Manager's absence, subject to established authority levels.
  • Identify recurring file-handling, workflow, or compliance issues and bring trends to the Manager's attention with recommended corrective action.

90-Day Review: The Manager will evaluate the Temporary Assistant Manager's performance and the effectiveness of the assignment. The review will consider demonstrated ability to independently manage delegated responsibilities, quality of file oversight, financial review accuracy, communication and leadership with adjusters, judgment regarding escalation, organization, follow-through, and overall contribution to unit operations. Outcomes may include continuation, modification, expansion, or return of responsibilities to the Manager.
