Role Description

The Healthcare Virtual Assistant role at Snapscale is a full-time, remote position supporting healthcare providers with daily administrative and patient-facing tasks. Responsibilities include managing patient scheduling, appointment confirmations, and follow-ups, as well as handling insurance verification, billing inquiries, and basic data entry within practice management systems. The role also involves responding to patient calls and messages, providing front-desk support such as registration and intake coordination, and maintaining accurate and confidential records in line with HIPAA guidelines. The Healthcare Virtual Assistant collaborates with clinical and administrative teams to streamline workflows, improve patient communication, and support overall practice efficiency. This position requires consistent availability during assigned working hours and the ability to work effectively in a virtual environment.

Qualifications

  • Candidates should possess strong Patient Care and Interpersonal Skills to communicate clearly, empathetically, and professionally with patients and healthcare teams.
  • Candidates should possess knowledge of Medicine and Health & Safety principles relevant to administrative support in healthcare settings.
  • Candidates should possess safe Manual Handling practices when guiding workflows that involve patient records, documentation, and digital file management.
  • Candidates should possess proficiency with basic computer systems, EHR/practice management software, and secure data entry processes.
  • Candidates should possess excellent organizational skills, attention to detail, and the ability to prioritize multiple tasks in a remote environment.
  • Candidates should possess strong written and verbal communication skills and a customer-service mindset focused on patient satisfaction.
  • Previous experience in a medical office, clinic, or healthcare support role and familiarity with HIPAA requirements are highly beneficial.
  • Relevant education or certification in healthcare administration, medical assisting, or a related field is an advantage.
