About the Role

SmartScale360 is hiring a dependable and customer-focused Customer Service & Appointment Coordinator to support a growing U.S.-based business.

This role is responsible for lead follow-up, customer communication, appointment scheduling, and accurate CRM documentation. The ideal candidate is organized, proactive, comfortable with outbound communication, and able to manage multiple leads and follow-up tasks efficiently.

What You'll Do

  • Contact new and existing leads through phone, text, and email
  • Follow up with leads and schedule or confirm appointments for the sales team
  • Maintain consistent customer communication and provide professional assistance
  • Respond to customer inquiries and escalate concerns when necessary
  • Document all customer interactions and follow-up attempts accurately in the CRM
  • Update customer information, appointment status, notes, and follow-up dates
  • Track leads, appointments, and follow-up activities to ensure no customer falls through the cracks
  • Coordinate with the sales and management teams regarding appointments, customer concerns, and follow-up needs
  • Maintain accurate records and support an organized and efficient lead management process

What We're Looking For

  • Previous experience in customer service, appointment setting, call center, sales support, or administrative roles
  • CRM experience strongly preferred
  • Excellent verbal and written English communication skills
  • Comfortable making outbound calls and communicating through text and email
  • Strong organizational and multitasking skills
  • Excellent attention to detail and accuracy
  • Dependable, proactive, and able to work independently
  • Customer-focused with a professional communication style

Tools You'll Use

  • CRM: HubSpot, Salesforce, Zoho, Pipedrive, or similar platforms
  • Communication: Phone, SMS/text, email, Zoom, Google Workspace
  • Scheduling: Calendars and appointment scheduling platforms
  • Productivity: Microsoft Office, Google Workspace, or similar tools

Work-From-Home Requirements

  • Laptop/PC: Intel i5 (or equivalent) with at least 8GB RAM
  • Internet: Stable 100 Mbps connection
  • Backup: Secondary internet connection, backup device, and reliable power source
  • Work Environment: Professional, quiet, and suitable for customer communication

Schedule

  • Work Schedule: To be confirmed by the client
  • Availability: Must be available to work based on client operational needs
  • Shift: Must be flexible to work U.S. hours
