Job description

Remote Raven places high-caliber remote professionals with global businesses. Our client is a long-established US community association management company, headquartered in Arizona, that manages large-scale, master-planned homeowner communities. They are looking for a reliable and organized Administrative Assistant to support their management team and serve as a first point of contact for homeowners.

This role sits at the intersection of operations, customer service and administrative coordination, so it suits someone who is equally comfortable managing data entry and handling a high volume of resident inquiries with professionalism and patience. You will support management staff directly — including when managers are traveling — and play a key role in keeping day-to-day operations running smoothly. Full training on company systems and processes will be provided.

The team works on Arizona time (US Mountain Standard Time all year, with no daylight saving changes), so from the Philippines this is a steady overnight schedule that does not shift twice a year.

Key Responsibilities

Administrative and Operational Support

  • Enter and maintain data in the Caliber property management system, ensuring records are accurate and current
  • Update and maintain management reports, tracking the status of active projects and open items across the portfolio
  • Keep track of all ongoing projects, flagging items that require follow-up or escalation
  • Upload documents to management portals and maintain organized digital records
  • Update homeowner and contact information in the system, including email addresses and communication preferences
  • Support managers with administrative tasks while they are traveling, ensuring continuity of operations

Homeowner Customer Service

  • Handle a high volume of inbound phone calls, particularly during quarterly billing cycles, responding to payment and account inquiries professionally and accurately
  • Address common homeowner questions, including payment confirmation, account status, amenity access information (such as clubhouse door codes and key access), and general community inquiries
  • Respond to email inquiries and route questions to the appropriate manager when needed
  • Provide accurate, helpful, and patient communication to homeowners at all times, regardless of inquiry volume
  • Strong administrative and organizational skills with high attention to detail
  • Excellent phone manner and verbal communication skills — comfortable handling a large volume of calls with professionalism and composure
  • Clear and professional written communication for email correspondence
  • Proficiency with standard computer applications and comfort learning new property management systems (Caliber training will be provided)
  • Ability to manage multiple tasks simultaneously and prioritize effectively
  • Reliable, punctual, and self-directed with the ability to work independently

Preferred Qualifications

  • Prior experience in property management, HOA administration, or a similar customer-facing administrative role
  • Familiarity with Caliber or similar property management software
  • Experience with basic accounting support tasks, such as account reconciliation or billing follow-up

Tools & Software

  • Caliber (HOA and property management system) — full training is provided
  • Microsoft Excel: VLOOKUP / XLOOKUP and PivotTables
  • Email and a business phone line handling a high volume of homeowner inquiries
  • Management and document portals
  • Microsoft Teams for day-to-day communication with the team
  • Hubstaff time tracking (standard on every Remote Raven placement)

What Makes You a Great Fit

  • You genuinely enjoy helping people and take pride in keeping things organized.
  • You understand that homeowners call about things that matter to them — whether their payment posted, how to access a community amenity, or who to speak with about an issue — and that you are often the first voice they hear.
  • You know that warmth, patience and accuracy matter as much as efficiency.
  • You are comfortable with repetitive tasks and understand that consistency is a form of reliability.
  • You follow through, document your work, and keep the team informed, so nothing falls through the cracks — even when the manager you support is out of the office.

What We Offer

  • Up to $6/hour
  • 100% remote work
  • Full-time role

We hire for the long haul, so a steady track record of staying and growing always moves you up our list.

To apply:

Ensure your LinkedIn profile and resume are up-to-date and comprehensive (submit a comprehensive resume in English, PDF format), and complete the assessment in this link: https://assessment.aptiveindex.com/s/aj0E351zZz7J

Prepare your application

Use the description above to assess your fit for Remote Raven. This checklist is guidance from Resumize, rather than additional requirements from the employer. Imported listings can be shortened or change after collection, so confirm the complete description and current availability before sending an application.

Match requirements to evidence

Identify the responsibilities and skills the employer explicitly names. For each important requirement, choose one example from your work, education, training, or projects. Explain what you did, how you did it, and what changed as a result. Include a measurable outcome when you can support it. If you lack a requirement, describe related experience accurately instead of adding an unfamiliar skill to your resume.

Put the most relevant examples near the top of your resume. Keep job titles, dates, qualifications, and contact details consistent across your application materials. Use the employer’s terminology when it describes your experience accurately; a copied list of keywords does not explain your contribution. A short, specific bullet is easier to review than a paragraph that mixes several unrelated duties.

Check the working arrangement

Confirm the location, schedule, employment type, and any eligibility requirements on the employer’s site. A remote label does not establish worldwide eligibility or flexible hours. If compensation, benefits, equipment, travel, or contract duration are missing from this listing, write down your questions for the recruiter. Do not assume details from another opening at the same company apply to this role.

Review before submitting

Follow the employer’s requested file format and application instructions. Open your exported resume and check that its text is selectable, its sections read in order, and its links work. Proofread names, dates, and contact information. Share confidential work samples only when you have permission, and use an anonymized example when necessary.

Submit through a trusted employer or recruiting destination. If the original listing has disappeared, search the employer’s careers page for the title rather than assuming the vacancy remains open. Save the application date, job reference, and the version of your resume you sent. Those details help you prepare for a later conversation and avoid submitting conflicting information through several job boards.

Review your resume for writing and readability feedback, or browse other openings if this opportunity is unavailable.
